The fine print, in plain language
Booking terms
[DRAFT: PENDING SOLICITOR REVIEW]
This document is an unreviewed draft and does not yet form a contract. Rudi & Co. is a package organiser registered in England and Wales; these terms must be completed and approved by a UK travel solicitor before publication. Section headings and plain-English summaries are in place; the formal wording, statutory price-revision thresholds and cancellation rights are still to be drafted.
Note for review: package travel contracts are treated differently from ordinary distance sales, and the standard 14-day cancellation right does not apply in the usual way. Nothing here should imply a general right to change your mind.
Draft prepared June 2025 · not yet in force
1. How booking works
Every trip starts with a written, line-item itinerary. Nothing is booked and no payment is due until you approve that itinerary in writing (email or WhatsApp confirmation counts). Once approved, a deposit secures your bookings and the balance is due before travel, on dates stated in your itinerary.
2. Pricing & transparency
All prices are quoted in USD (or KES on request) and itemised: park and entry fees, transport, accommodation, meals we book, and our planning fee. If a third-party cost changes between quote and booking (for example a park fee revision), we show you the change before charging anything.
3. Payments
We accept bank transfer and card payments. A standard deposit of 30% confirms bookings; the balance is due 14 days before arrival (or immediately for trips booked inside 14 days). Every payment corresponds to a line on your itinerary.
4. Changes & cancellations
Plans change: we build for it. Changes requested before final payment are re-priced and confirmed in writing. Cancellation refunds depend on what suppliers (hotels, parks, airlines) allow; we pass through their terms transparently and refund whatever they release, minus our planning fee once an itinerary has been delivered.
5. Travel documents & insurance
You are responsible for valid passports, visas or ETAs, and any required vaccinations. We strongly recommend travel insurance covering medical care and cancellations, and can point you to reputable providers on request.
6. Our role & liability
Rudi & Co. acts as a planner and coordinator with vetted local partners (drivers, guides, hotels). While we choose partners we use ourselves and stand behind our planning, services delivered by third parties are subject to their own terms. Our liability is limited to the planning fees paid to us.
7. Flights are not included
Flights are not included in any package and are not arranged, booked or sold by Rudi & Co. Travellers book their own international and domestic flights. We accept no responsibility for flight delays, cancellations or schedule changes, though we will do everything we reasonably can to adjust ground arrangements when they happen.
8. Your data
Enquiry details are used only to plan and deliver your trip. We do not sell your information, and we share it with the independent Kenyan suppliers delivering your trip only as far as they need it to look after you.
9. Contacting us
All bookings, amendments, cancellation requests and data requests should be sent in writing to info@rudiexperience.com. Written confirmations sent to and from this address form part of your booking record.
